What changes in the working week?

Plan around the people available

Check recurring availability and approved leave while assigning shifts. Keep the work location and required skills attached to the shift so the coverage decision is clear.

Keep roles and skills distinct

Use team roles to group people, such as Kitchen or Front of House. Use shift skills, such as Tills or Prep, to describe the work. Automatic scheduling considers the skills a shift needs; account permission levels control access separately.

Review the cost before publishing

Compare projected wages as you adjust the roster. The estimate depends on your configured rates and rules, so confirm those settings before treating it as a budget commitment.

How it works

A process the team can follow.

  1. 1

Set up locations and the team

Add the places people work, organise team roles and record staff skills. Ask staff to enter recurring availability and use the leave approval process before planning the week.

  2. 2

    Build and check the roster

Create shifts manually, reuse an existing week or review automatic scheduling suggestions. Check skill coverage, availability and projected wages. Managers make the final assignment decisions.

  3. 3

    Publish a shared plan

Publish confirmed shifts so staff can check their roster in a supported browser. When enabled, shift-swap requests and the open shift board help managers review later changes.

A practical check

Try a week your team actually works

In the hospitality demo, look at a busy service period. Check who is available, which shifts need a particular skill and what happens to projected wages when you adjust coverage. Use this same checklist with your own records during the organisation trial.

Questions before you try it.

Can I move from a spreadsheet roster?

Yes. Set up your locations and staff, then build the first week in the shared roster. For a manageable changeover, check one week against your existing process before publishing it. Do not assume a spreadsheet has been imported automatically.

Does automatic scheduling make the final decision?

No. It suggests assignments using availability, required shift skills and configured rules. Review warnings, formal industry requirements and your operational coverage before publishing.

Can employees view the roster on a phone?

Yes, through a supported mobile browser. Access and optional tools depend on organisation settings. Native iOS and Android apps are coming soon.
