What changes in the working week?

Separate pending and approved work

Use status filters to focus on timesheets awaiting review, then compare with approved records when checking the pay period. Clear the filters when you need the full picture.

Resolve incomplete records first

Compare clock records with the roster, check breaks and follow up missing information. A tidy export starts with confirmed source records and a shared understanding of who reviews them.

Prepare an explicit payroll handover

Export approved hours in the supported format for your workflow. Xero output is a reference CSV; MYOB uses import files. Confirm employee identifiers and pay-item mappings in the receiving payroll system.

How it works

A process the team can follow.

  1. 1

    Choose the period and status

Open Timesheets for the relevant organisation and pay period. Start with pending records to see what still needs attention, or use all statuses to compare the period.

  2. 2

    Check and approve

Review recorded work and breaks, follow up exceptions and confirm corrections. Approve only the records your payroll team is ready to use.

  3. 3

    Hand approved records to payroll

Choose the relevant export or summary, then check the file against your payroll process. Complete wages, payslips, tax and STP reporting in your payroll system.

A practical check

Make responsibility clear at the handover

Agree who checks missing clock records, who approves the timesheets and who validates the payroll file. The dedicated read-only payroll officer account can help the person preparing payroll review the records without changing the roster.

Questions before you try it.

Does ShiftRova replace my payroll system?

No. It supports attendance review, timesheet approval and payroll preparation. Your payroll system remains responsible for payslips, tax and STP reporting.

Does it automatically sync payroll to Xero?

The current Xero workflow produces a reference CSV. Do not assume a live payroll sync or a file that imports directly into every Xero payroll configuration. Check the integration page for the current format and limitations.

Can the payroll officer have read-only access?

Yes. A dedicated payroll officer account provides read-only access for the supported payroll review workflow. Organisation permissions and selected-organisation access still apply.
