How to calculate Fair Work penalty rates for casuals in 2026

Penalty rates are not a vibe. They are in your modern award or enterprise agreement, and they change. This article explains the mechanics managers need so a Saturday night in the roster costs what payroll will pay. It does not quote dollar amounts or percentages — those belong in the Fair Work pay guides for your award and classification.

If you run hospitality, retail, or security in Australia, the 2026 job is the same as 2025: identify the instrument, map the hours, apply one rule at a time.

The stacking problem

A casual on a Sunday public holiday is not “base + casual loading + Sunday + public holiday” unless the award says that. Many instruments substitute or absorb loadings. The usual manager error is stacking everything because it “feels fair” — or stacking nothing because it “feels expensive.”

Worked approach:

  1. Find the classification (e.g. Food and beverage attendant grade 2).
  2. Find the ordinary casual hourly rate (includes casual loading if that is how the guide publishes it).
  3. Find the rule for that day and those hours (evening, weekend, PH, overtime).
  4. Apply one resulting rate to each hour.

If two rules could apply, the award tells you which wins. When you are unsure, ask the pay guide or an adviser — do not invent a midpoint.

Split the shift when the day or the hour changes

A 16:00–23:00 Friday is often two bands (afternoon vs evening). A 22:00–06:00 Saturday is Friday evening + Saturday morning, and may cross overtime if the week is already long.

Your rostering tool should walk the shift in small chunks (ShiftRova uses 15-minute bands) and apply the location’s daily or hourly multiplier, then public-holiday overrides. Salaried people stay flat.

Overtime is not “a bit extra on Sunday”

Casual overtime is usually about hours in the day or week, not the name of the day. A casual who has already worked a full week and then picks up a Friday night may be on overtime and a weekend rule. Again: one instrument, one hierarchy.

Cap weekly hours on the person (e.g. 38) so auto-schedule and managers see the wall before publish.

Public holidays and part-days

National PH dates differ by state. South Australia adds Adelaide Cup, Proclamation Day, and 7pm part-days on 24 and 31 December — see the 2026 SA rostering calendar.

If your software only has an all-day “PH” flag, NYE from 16:00–00:30 will be wrong.

A compliance checklist before you publish

  • Award + classification on the pay rate, not just “casual $32”
  • Weekend and evening multipliers on the location
  • PH dates entered for this state (including part-days)
  • Rest between shifts (often 10 hours) enabled
  • Super at 12% in any labour forecast (from 1 July 2025)
  • Timesheet export uses the same bands as the roster

ShiftRova applies those multipliers on the roster, the weekly timesheet summary, and the payroll CSV so you are not reconciling three truths. Start a $1 trial.
